This is a part-time, in-person role based in Colorado Springs, Colorado. We are looking for someone who enjoys meaningful work, a collaborative team environment, and a high degree of ownership in their day-to-day responsibilities. POSITION SUMMARY

The Office Manager serves as the primary point of contact for BeMultiplied Headquarters, ensuring a welcoming, professional, and well-organized office environment. This role focuses primarily on front-facing office operations, administrative support, and team coordination, while also overseeing facilities, maintenance, and event services under the supervision of the Director of Operations. The Office Manager demonstrates strong interpersonal and customer service skills, balancing hospitality and relationship management with the ability to communicate clearly and confidently with contractors, vendors, and volunteers. They exercise initiative in organizing workflows, making day-to-day operational decisions, and proactively addressing issues to support overall office efficiency. Additional responsibilities include technical tasks such as database management, digital form creation, and assisting with internal systems and processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serve as the primary point of contact for the office, welcoming guests, answering inquiries, and ensuring a professional and hospitable environment.
  • Demonstrate strong customer service and interpersonal skills in all interactions, while confidently communicating expectations and addressing concerns with contractors, vendors, and volunteers as needed.
  • Exercise initiative in identifying needs, organizing workflows, and making day-to-day operational decisions to support office efficiency.
  • Provide general office support, including answering phones, managing building access, overseeing office inventory and supply ordering, restocking supplies, and performing light housekeeping tasks.
  • Receive, sort, and distribute incoming mail and deliveries, ensuring accurate and timely routing to appropriate staff and tenant offices within the building. 
  • Compile and maintain a weekly mobile check deposit log, ensuring accuracy, proper documentation, and timely communication to the Finance team.
  • Manage and update the weekly Thursday prayer sheet, ensuring accuracy and timely distribution.
  • Provide basic AV support during gatherings, including running presentations, setup, and troubleshooting.
  • Assist with database management, including updates, basic troubleshooting, and coordination with team members.
  • Create and maintain digital forms to support organizational processes and data collection and utilize tools such as Power Automate to improve workflow efficiency.
  • Coordinate ongoing maintenance, repairs, building upkeep, and inspections, ensuring all work is completed in a timely manner.
  • Oversee external service providers, ensuring work meets expectations and addressing issues proactively; source new providers as needed and maintain an up-to-date database.
  • Conduct regular walkthroughs of the building and property, including roof areas after vendor work, to identify maintenance needs, safety concerns, or debris left behind.
  • Support event logistics, including schedule planning, supply projection, and catering coordination.
  • Recruit, coordinate, and oversee volunteers for events and maintenance projects, ensuring tasks are completed, supporting staff as needed, and maintaining a volunteer engagement database.
  • Track expenses and assist with budget management for facilities and maintenance operations, reporting future needs to the Director of Operations.
  • Maintain timely and healthy communication externally and internally with team, supervisor and other BeMultiplied staff and leaders.
  • Serve collaboratively as a member of the BeMultiplied global team, contributing to the ministry’s mission, culture, and shared objectives.
  • Participate in Thursday ministry gatherings (including prayer meetings and monthly department meetings), staff meetings, conferences, and training events as requested.
  • In-person participation required in BeMultiplied staff conferences and organizational gatherings when scheduled. 
  • Carry out additional responsibilities as assigned in support of BeMultiplied’s mission, strategic priorities, and global training initiatives.

QUALIFICATIONS

Education and Experience: 

  • High School Diploma or equivalent. 
  • A minimum of three years of relevant professional experience, preferred.
  • A working knowledge of Microsoft Office products and operating systems.

  • Event coordination and basic audio/visual support skills.

Licenses, registrations, and certificates:

  • Valid driver’s license required.
