Parents of Addicted Loved Ones (PAL) is seeking an organized, proactive Administrative Assistant with exceptional communication and problem-solving skills to handle office duties and create a welcoming and efficient office to serve our national nonprofit.
PAL is passionate about helping people of all faiths and backgrounds deal with family members struggling with substance use disorder. As an evangelical Christian-run organization, we require employees and facilitators to agree to a general statement of faith.
You will have the exciting opportunity to be an integral part of a small team in a casual office setting, supporting our PAL facilitators and the growth of the organization throughout the nation. In addition to routine office duties, you will be helping with event planning, project coordination, donor management, volunteer support, creating reports and flyers, and building office processes as the organization grows. You will be the hub of this fast-paced organization, touching lives across the country.
Basic office duties, including answer and directing phone calls and emails
Be the first point of contact for parents, donors and media wanting to learn more about PAL
Assist in the preparation and distribution of regularly scheduled reports
Independently organize and coordinate work to effectively support the program, set priorities, and meet established deadlines with little or no supervision
Develop and implement processes to streamline work and improve efficiencies
Develop and maintain an electronic and paper filing system
Update and maintain office policies and procedures
Monitor and order office and program supplies for staff and volunteers
Plan meetings and take detailed minutes
Maintain contact lists
Input information into financial, customer/client and donor databases or apps
Project and event coordination / assistance
Other duties or special projects as assigned
Experience and required skills:
Minimum of three years administrative experience preferred
Knowledge of office management systems and procedures
Strong organizational, task and time management skills
Proficiency in MS Office (MS Excel, MS PowerPoint, Word and Publisher), as well as Adobe products including Adobe Acrobat Pro)
Ability to maintain mass email client (currently, Mail Chimp)
Understanding of QuickBooks or similar product for basic entry
Working knowledge of office equipment, such as printers and multi-function copiers
Ability to perform work independently and prioritize multiple projects
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Basic math skills and understanding of basic financial concepts
Ability to update website (WordPress)
Ability to maintain donor database (currently, NEON)
Project management and event coordination training and/or experience
Previous experience with PAL; knowledge of Substance Use Disorder

This is a full-time position with flexible hours Monday-Friday based out of our office at 11225 N. 28th Drive, with occasional weekend and evening work. Part-time will be considered for ideal candidates (please discuss part-time schedule interest in cover letter). Pay range is commensurate with experience. PAL offers a health and dental package and Simple IRA retirement plan for full-time employees. PAL is organized as a Christian non-profit and our peer support group meetings are provided free of charge to people of all faiths and backgrounds. Our meetings are facilitated by trained, volunteer peer parents. PAL is a rapidly growing nationwide program.
