Job Description

Position Title:                      Executive Assistant

Position Summary:

The Executive Assistant reports to the Executive Director. He/she assists the Executive Director and President in donor relations, prospect engagement and promotion of the organization’s projects and objectives via email, phone and other means of communication .The Executive Assistant works to secure face-to-face meetings, remote meetings or stage engagements for the organization’s President.


PR, Engagement & Fund Development

  • Execute a strategy for face-to-face meetings for the organization’s President and occasionally other organization officers. Audience will include new corporate, foundation, business, church and individual prospects and also current sponsors.
    • Utilize appropriate communication methods including phone calls.
    • Run Salesforce reports then work from those reports
    • Schedule meetings for President
    • Coordinate travel arrangements
  • Collaborate with team to execute marketing and fund development strategy.
  • Coordinate visitors to our international projects. Includes email and phone communication, helping them finalize itinerary in collaboration with project leaders.
  • Be creative and help develop other promotional strategies, ideas or options.

Event Planning

  • Assist other team members in planning and execution of donor appreciation events.


  • Utilize the organization’s Salesforce database to record and monitor personal and team interactions with prospects (software training will be provided)

Volunteer Recruitment

  • Participate in recruiting and managing volunteers and/or outsourced international freelancers as needed.

Content and Product Creation

  • Assist the organization’s President in preparation of books, curriculum, videos or other media that can be utilized by WIN for further brand recognition, global influence and fund development.

Required Skills and Experience:

  • Prior experience in development or marketing.
  • Demonstrated excellence in verbal communication, public relations, and telephone skills.
  • Proficiency in Microsoft Word and Excel.
  • Advanced writing and editing skills (must be a native English speaker).
  • Experience working in a fast-paced environment supporting executive leaders.
  • Ability to multi-task and manage the completion of multiple projects, often with shifting priorities, while working under direct supervision or independently.
  • Ability to handle confidential donor/partner information with sensitivity and integrity.
  • Be willing to learn basic operation of software such as Salesforce etc
  • Experience with nonprofit, Christian missions, and/or global development a plus.

Education Requirements:

  • Bachelor’s degree in communications, nonprofit development, public administration, or related field.
  • Education requirement may be waived if candidate meets all of the other requirements listed above.
