Do you have a servant’s heart and want to use your gifts of administration and event planning to support CityTeam? The Development Coordinator’s time will be split between coordinating events and providing administrative support for the VP of Development and the Development Team. It is important that our Development Coordinator have the organizational skills necessary to prioritize and support multiple people, projects, and deadlines. Accuracy, efficiency, and follow through are critical skills necessary to be successful in this position.  Each day’s work will be unique, so we are looking for someone who can pivot quickly and deal with surprises and unexpected twists with grace. The Development Coordinator will also take the lead on all of the behind-the-scenes tasks necessary to make our events run smoothly. Our ideal candidate will take initiative, anticipate needs, and be proactive in both planning and execution.


The Development Coordinator is a part-time 25-29 hour per week position that is expected to increase hours as we ramp up to events. The Development Coordinator position is wrapped up in a Christian environment that values Teamwork, Accountability, Humility, Innovation, and Joy.



  1. Event Planning: Collaborate with VP Development, Senior Director of Development, and Development Officers for events, small and large. Oversee all administrative aspects of planning and execution including supporting meetings and follow up actions, scheduling, booking venues, paying vendors, planning meetings, following up on action items, training volunteers, attending to event details such as nametags and seating charts and in some cases decorations and food, and being the point of contact at events.
  2. General Administrative Duties: Coordinate calendars, schedules, and Development Team meetings; send agendas, take notes, and distribute minutes; order supplies and run errands.
  3. Project Management: Proactively manage calendars, schedules, and events. Create timelines, action lists, and keep everyone on track.
  4. Data Management: Work with the Executive Director of San Jose and the Finance, Marketing, Donation Processing, and Development Teams to gather information, assist with data entry, track stats, sort data, and create reports; create monthly operations reports for the Development Team.
  5. Proofread, revise, and edit emails, collateral proposals, letters, and PowerPoint presentations.
  6. Utilize technology efficiently (Raiser’s Edge, Qgiv, Volunteer Hub, Campaign Manager) to strategically use data to drive action. 
  7. Work with the VP of Development, Marketing, and the rest of the Development Team to ensure appropriate information and materials are made available to donors.
  8. Advocate for CityTeam with those in your circle of influence.
  9. Handle all information with the strictest confidence.
  10. Other duties and special projects as assigned by the VP of Development.

Required Education and Experience

  • High school diploma or equivalent
  • 1-2 years of administrative experience
  • Computer literate and able to learn new software and computer programs quickly
  • Proficiency with Microsoft Office Suite, especially Excel and PowerPoint
  • Proficiency with G-Suite and file sharing
  • Experience creating, revising, and editing presentations
  • CA Driver’s license with a clean record


Preferred Education and Experience

  • 4-year degree in a related field or equivalent experience
  • Event Planning experience strongly preferred
  • CRM platform experience (Raiser’s Edge)
  • Customer service industry experience


Physical Demands

  • Stand or sit for prolonged amounts of time
  • For events, need to stand for a long period of time and nimbly move around crowded spaces
  • Walk, bend, twist, kneel, reach, and climb
  • Talk and hear
  • Type minimum 50 cwpm
  • Occasionally lift and carry up to 20 pounds
  • Finger and hand dexterity to feel, handle, and operate objects, tools or controls, and to reach with hands and arms
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus

Work Conditions

  • This job operates in a professional office environment
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines
  • Days and hours of work are typically Monday through Friday 9:00 a.m.-2 p.m., with occasional evenings and weekends
  • As we ramp up to events, this position is likely to work up to 40 hours per week
  • Travel is primarily local during the business day

  • Must be active in a local Christian body of believers or at least pursuing community with other Christ-followers
  • Must have compatible theology on major issues of CityTeam's Statement of Faith
