Job Description

The Church of the Incarnation is seeking a part-time parish administrator (20 hours per week) to manage administrative tasks and assist the priest with planning programs and events. This position will require regular office hours, but times are flexible per the candidate’s availability. The parish administrator will also coordinate with and assist the various ministry leaders and volunteers overseeing each area of ministry in the church. The successful candidate will have a caring and friendly demeanor, be detail-oriented, skilled at multi-tasking, and enjoy working with volunteers. Additionally, a successful candidate will be able to prioritize tasks and requirements in a changing work environment as the church grows and develops. Prior administrative experience a plus. This position reports to the priest.

Applications will be accepted through July 19. Interviews will be conducted during the month of August with the goal of fulfilling this position in September. Specific Duties:

 1) Assist with the planning, creation and implementation new and current ministry programs/events:

  • Meet with priest weekly to plan upcoming events/programs
  • Work with “breeze” church planning software to promote and publicize upcoming events
  • Work with “breeze” to schedule volunteers and manage the volunteer scheduling such that all events run smoothly.
  • Help with purchasing, materials creation, staging, setup etc. of ministry events and programs as requested by the priest.

 

2) Be the primary interface with ministry leaders and volunteers

  • Work with current leaders to help resource them as they prepare/lead/implement programming and ministry events
  • Be the primary interface with all volunteers, fielding their questions and directing their volunteer efforts, and ensuring that their programs and tasks are being accomplished (ie…bulletin, nursery, children’s church etc).
  • Answer e-mails forwarded from Rector for above tasks

 3)  Manage regular administrative tasks as assigned by rector:

  • Weekly newsletter
  • Diocese correspondence
  • Keep up with official documents, parish records
  • Organize/store/manage recurring administrative systems (safeguarding Gods children, etc.)

 Skills & Qualifications:

  • Friendly and welcoming interpersonal skills and ability work with a wide-variety of volunteers 
  • Must maintain strict confidentiality
  • Analytical skills to discern systemic solutions
  • Excellent written communication skills
  • Proficiency in Microsoft Office programs and willingness to learn proficiency in church management software.
  • Associates or Bachelor’s degree or equivalent is preferred
