Job Description

Position Summary: The Administrative Assistant provides administrative support to the Staff Services Director and other staff members within the department. The position will consist of various support and services related to day-to-day tasks and special projects.

  1. Responsibilities:
    • Process, verify, and maintain personnel related documentation, including compensation, staffing, recruitment, training, performance evaluations, classifications, and employee leaves of absence.
    • Explain company personnel policies, benefits, and procedures to employees or job applicants.
    • Enter and maintain data for each employee in Paylocity as well as providing electronic copies in their electronic file.
    • Work with department managers to gather information on staff for their personnel records.
    • Examine employee files to answer inquiries and provide information as needed.
    • Compile and prepare reports and documents pertaining to personnel activities.
    • Provide assistance in administering paperwork related to payroll, benefits, training, & review processes.
    • Assist with any other projects as assigned by the Staff Services Director.

Skills, Abilities, Characteristics and Physical Demand:

  • Excellent written, phone, and personal communication skills.
  • Ability to multitask and keep processes moving on multiple assignments.
  • Proficient in MS Office (especially Word and Excel), Google Suite, and email proficiency. Also in modern office procedures, databases, and recordkeeping.
  • Capable typist (avg. 50 wpm).
  • Must be organized, professional, and responsible with a strong attention to detail.
  • Able to relate and communicate technical and detailed information on HR subjects with all levels of staff and management.
  • Ability to handle complex tasks and special projects.
  • Motivated and a self-starter.
  • Ability to establish priorities, work independently and with a team, and able to work well without constant supervision.
  • Basic understanding of HR functions or a willingness to further learn and grow in this area.
  • Ability to maintain integrity and confidentiality.
  • Enjoys variety, but can handle routine as needed.
  • An Encourager with a heart to serve our staff.
