Job Title:  HR Assistant/Receptionist

Area/Location:  Support Services / San Jose, California

Reports to:  Senior Director of HR

Subordinates:  n/a           

Classification:  Assistant / Part-time 30-hours / Non-Exempt

Salary:  $20-hour

Work Schedule: Monday through Friday 8:00am - 2:30pm

 

JOB SUMMARY

 

The HR Assistant/Receptionist is a key role in the HR Department.  The HR Assistant/Receptionist is a hub for Cityteam employees and the public.  This position handles multiple HR and general administrative tasks with accuracy while maintaining the highest level of confidentiality and customer service. Due to the nature of this role, the HR Assistant/Receptionist must be able to complete projects and tasks in a timely and accurate manner while tactfully managing constant interruptions.

 

As the first point of contact at our main office, this position represents Cityteam in person, over the phone, and via email. The HR Assistant/Receptionist requires technical and soft skills necessary to complete projects, solve problems, answer questions, direct calls, and build positive working relationships. The HR Assistant/Receptionist will also be the lead in coordinating and executing large special events.

 

The HR Assistant/Receptionist position is a 30-hour a week commitment with benefits that include but are not limited to Medical, Dental, Vision, Paid Vacation, Sick Leave, Holiday Pay (including Birthday), and Retirement Benefits. ESSENTIAL FUNCTIONS

Ministry

  1. Welcome guests, answer questions, and assist as needed at the front desk.
  2. Answer, screen, and route calls to the appropriate people.
  3. Provide information about Cityteam’s programs and services to the public.
  4. Special event coordination and execution.
  5. Accurate filing and data entry.
  6. Process background checks for volunteers.
  7. Update Cityteam’s organizational chart and phone lists as needed.
  8. Track and reserve conference rooms.
  9. Collaborate with various managers to update Cityteam’s Event Calendar.
  10. Provide outstanding customer service to staff and public.
  11. Other duties and or special projects as assigned by the Senior Director of HR.

Physical Demands

  • Stand or sit for prolonged amounts of time

  • Finger and hand dexterity to feel, handle, and operate objects, tools or controls, and to reach with hands and arms
  • Should be able to type accurately with a minimum 30 correct words per minute
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus

 Required Education and Experience

  • High school diploma or equivalent
  • Some completed college course-work
  • 2-3 years of administrative experience
  • Computer literate and proficient with Microsoft Office Suite
  • Good command of the English language in order to be able to write professional documents and business correspondences
  • Note: This role routinely uses standard office equipment such as computers, printers, phones, photocopiers, filing cabinets and fax machines 

Preferred Education and Experience

  • 2+ years of HR Experience

  • Must have a personal relationship with Jesus Christ
  • Must be active in a local Christian body of believers or at least pursuing community with other Christ-followers
  • Must have compatible theology on major issues of Cityteam's Statement of Faith
  • Must be committed to serving God and the body of Christ
