Program Coordinator

Program Coordinator Office of Student Success Description
Under the supervision of the Director of Student Success, the Program Coordinator is a full-time, professional, staff member within the Office of Student Success. The Program Coordinator plays a key role in the creation and implementation of the engagement and retention programs primarily focusing on the sophomore, junior and senior experience, and also assists in the selecting, training, supervising, and evaluating of undergraduate interns and graduate assistants. The Program Coordinator is the manager of customer-service efforts implemented through the Office of Student Success. Additional responsibilities include creating and coordinating all aspects of the APU fall and spring new student orientation programs. This position holds a responsibility to design, implement, assess, and evaluate a variety of educational, social, cultural, and recreational programs within sophomore, junior, and senior engagement and retention efforts. Serves as a member on a variety of campus committees, and supervises undergraduate office support staff.
Examples of Duties
  • a. Assists with supervising the Graduate Assistant for Retention and Engagement
  • b. Coordinates all aspects of and actively participates in all decisions pertaining to the sophomore/junior experience program for the fall and spring semesters and all administrative processes associated with the programming including planning, scheduling, documenting, and evaluating as well as budgeting and monitoring of expenses
  • c. Develops the sophomore/junior experience annual budget, monitors revenue and expenditures for the fall and spring semesters,
  • d. Supervises, mentors, and provides disciplinary support for the Student Success undergraduate support staff
  • e. Develops comprehensive assessments of the sophomore/junior experience program for students; utilizes results to continually improve the sophomore/junior experience program.
  • f. Creates, plans, implements and exercises independent judgment in supervising and responsibly directing the undergraduate OMEGA program coordinators hiring process which includes designing and implementing a three to four week marketing campaign
  • g. Responsible for overall management and functioning of the OMEGA program for the fall and spring semesters and all administrative processes associated with the OMEGA including planning, scheduling, documenting, and evaluating as well as budgeting and monitoring of expenses
  • h. Serves as the chair of the OMEGA committee for continual communication with the Office of Alumni Relations, Career Services, Chapel Programs, Undergraduate Registrar, Residence Life, and University Advancement
  • i. Develops the OMEGA annual budget, monitors revenue and expenditures for the fall and spring semesters
  • j. Develops comprehensive assessments of the OMEGA program for students; utilizes results to continually improve the OMEGA program
  • k. Assists in the hiring and selection of the Graduate Assistant for Orientation,
  • l. Assists in execution and coordinating all aspects of the Azusa Pacific University’s new student orientation for the fall and spring semesters
  • m. Independently manages Orientation registration process
  • n. Facilitates and provides overall supervision for publicity, recruitment, and interview scheduling of candidates for student leadership positions
  • o. Monitors and evaluates the Student Success Website and effectively recommends updates
  • p. Participates and assists with the Bridges leadership training program
  • q. Assists with planning and coordinating of Alpha banquet
  • r. Along with student worker support staff, responds to OSS email account and answers the OSS general telephone line as a customer service representative
  • s. Monitors and processes time cards, paychecks, and hiring forms and procedures for OSS student interns/leaders
  • t. Maintains records of the budget and processes forms for the Business Office, i.e. purchase requisitions, check requests, expense reports, etc.
  • u. Keeps open communication with other APU Departments, serves as a member with various campus-wide committees
  • v. Performs other duties related to job description as assigned by supervisor
Education
Bachelor’s Degree required; Master’s Degree in Higher Education or other related field preferred.
Experience
1-3 years professional experience in higher education or related field required, (two years of graduate assistantship may substitute for one year of professional experience).
Skills
Proficiency in Microsoft Office applications; good written and verbal communication skills. Possess strong organizational skills with exceptional attention to details. Must have the ability to work under pressure and handle multiple tasks. Applicant must have a high degree of initiative and the ability to work independently at times, resourcefulness, strong organizational skills, and problem solving skills. Ability to communicate effectively, written and verbal, with students, parents, staff, and faculty in a friendly, and professional manner. Manage several projects simultaneously, and make sound decisions. Work well with deadline pressures and distractions. Ability to exercise good judgment, and discretion in job performance with a cheerful, courteous, and helpful attitude. Logical problem solving ability. Ability to quickly adapt to changing circumstances. In agreement with the purpose and mission of Azusa Pacific University in providing a Christian-based higher education for its students.
Physical Demands
Requires repetitive motions and sitting at a computer keyboard. Hearing and speaking on the telephone. Able to conduct business at other offices on campus. Ability to lift, grasp, pull, stoop to lower file drawers and reach to the top of a five drawer file cabinet. Ability to lift up to 20 pounds occasionally.
Environment
Pleasant offices, comfortable temperature, busy office with, at times, multiple conversations occurring simultaneously.
