Administrative Assistant

Perform general office duties including sorting and processing incoming and outgoing mail, photocopying and distributing materials, sending and receiving fax/email correspondence, order office supplies, shipping and receiving as required.

General word processing including preparing and sending correspondence, reports, documents, spreadsheets, flyers, brochures, etc.

General reception duties including greeting visitors, operating multiple phone lines, responding to inquiries. 

Record and transcribe meeting minutes with accuracy.

Provide basic troubleshooting computer support  and office equipment assistance to staff

Responsible to maintain Village room bookings for the administration building.

Collate monthly statistical reports and submit through SAMIS.

Assist with the preparation of reports as requested

Assist in the production and distribution of print materials/publications including monthly client newsletters

Support the maintenance of client records for three programs

Produce monthly client invoices (using accounting software) and distribute in a timely manner

Reconcile and process payment for bank deposits; scan, invoices/receipts, entering data on spreadsheets and submitting them for processing through the finance department

Coordinate the filing, archiving, and disposal of student and volunteer records.

Perform other position related duties as required.


  • Completio n of a Community College program, preferably the completion of a diploma or certificate in Business Administration or related field.

  • Minimum of two (2) years of prior related experience including senior administrative/secretarial, payroll administration experience; the incumbent should also have experience dealing with office equipment and tools.

  • Bilingual in French preferred

  • Self-motivated, flexible, disciplined and able to work with minimal supervision

  • Typing speed of 50 words per minute

  • Strong organizational skills with the ability to complete assignments and meet deadlines with minimal supervision

  • Proficiency in all Microsoft Office products is required - i.e. Word, Excel, Publisher, PowerPoint, etc.

  • Ability to lift/move more than 10 lbs. (4.5kg)

  • Ability to maintain information in confidence and exercise good judgement.

  • Ability to use tact and diplomacy when dealing with the public, both in person and on the telephone

  • Ability to work in a fast paced environment, with proven attention to detail and aptitude for accuracy and thoroughness and consistent follow-up skills and flexibility

  • Demonstrate strong organizational, prioritizing and time management skills to effectively handle multiple priorities and meet competing deadlines with minimal supervision

  • Adaptable, proactive, a self-starter and the ability to work independently

  • Ability to use tact and diplomacy when dealing with the public, both in person and on the telephone

  • Ability to maintain a high level of accuracy and confidentiality; attention to detail, problem solving and analytical skills

  • Ability to learn, adapt, and utilize technology and processes quickly

  • Adaptability: Demonstrate a willingness to be flexible, versatile, and/or tolerant in a changing work environment while maintaining effectiveness and efficiency.

  • Organize: Set priorities, develop a work schedule, monitor progress towards goals, and track details, data, information and activities

  • Provide an original copy of a Background Check screening that is satisfactory to The Salvation Army, in its sole discretion, is required.The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment.

  • May require screening through The Salvation Army Abuse Registry.

  • Support for and an understanding of the mission and purpose of The Salvation Army in Canada

  • NOTE: Alternative combinations of education and experience may be considered


  • Schedule may vary according to requirements of responsibilities – some weekend and evening work may be required.

  • This is a permanent full time position based on 30-35 hours per week.

    Normal hours of work – 9:00 am to 4:00 pm – Monday to Friday and includes a ½ hour paid meal break.

    START DATE:  June 2018
