Christian Motorsports International / Racers For Christ® (RFC) is seeking an executive assistant for their national office in Tempe, AZ. RFC is a 501c3 non-profit organization whose focus is on serving the world of motorsports in the name of Jesus Christ. The Executive Assistant will work closely with and report directly to the Executive Director. We are looking for someone who is ministry minded, able to work as part of a team as well as individually. A background or knowledge of motorsports is not required. This is a part-time position of 24 to 30 hours per week.
Enhance the Executive Director’s effectiveness by providing logistics, scheduling, coordination, administrative, and communications support. Team with members of the executive and administrative team to solve problems and develop best practices in order to help the team serve the world of motorsports to the best of their ability.
Provide general administrative support to the respective administrative team and directors.
Receive, screen, sort and prioritize incoming email as needed.
Organize and maintain calendar for Executive Director and the leadership team, and communicate key deadlines.
Organize on and off-site meetings.
Minimal travel may be required.
Associate degree with 2-years job experience or a minimum of 3 years administrative assistant experience without degree.
Preference given to nonprofit or church background
Assist with the annual Golf Tournament and additional fundraising events.
Make travel arrangements – research and book flights, hotels, car rentals, etc., for RFC staff.
Maintain Executive Director’s appointment schedule by planning, scheduling, and coordinating meetings, events, conferences and teleconferences across multiple time zones.
Anticipate and coordinate executive's point-to-point travel needs, as well as team travel needs including but not limited to group ground transportation and hotel blocks.
Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text and data.
Maintain confidentiality across multiple segments including but not limited to constituent information, volunteer information and employee personal information.
Manage a complex calendar, ministry-wide, with an understanding of priorities to offer suggestions and alternate plans.
Maintain professional and technical knowledge by attending educational and training workshops online or in person.
Contribute to team effort by helping work on several projects at a time.
Conserve Executive Director's time by reading, researching, and routing correspondence and drafting/ editing emails and documents.
Attend meetings on behalf of the Executive Director or Team RFC® as needed.
