The Database Champion & Creative Arts Zone Administrative Assistant to serves to ensure the implementation and consistent use of the church database software throughout all ministry departments and provide administrative assistance for the Creative Arts Zone Director and the Communications Director. This position reports to the Creative Arts Zone Director. This is a full-time, support level, non-exempt position with full benefits.
Database Champion (20 hrs)
Recommend and advocate consistent adherence to best practices for congregational records/contacts.
Explore ways the database can provide church leadership with benchmarks and feedback that help measure the success of the mission of the church.
Develop ongoing training and use of the database by church staff and appropriate volunteer leaders.
Serve as liaison for Colorado Community Church with our database company.
Monitor and report key indications of congregational involvement and feedback with recommended policy/practice changes to church leadership and participate in planning decisions.
Perform beta testing of new software features and communicate / train appropriate stakeholders on new features or changes.
Build reports and spreadsheets as necessary and requested.
Field congregation requests for access to or removal from the database (“watch the back door”).
Ensure integration of other software with the database (i.e.: Protect My Ministry, Planning Center Online).
Monitor database functionality and assist with technical troubleshooting.
Attend appropriate meetings for continued learning and networking.
Specific Administrative Duties – Creative Arts (10 hrs)
Schedule musicians and volunteers via Planning Center Online.
Build Pro Presenter shows for Worship Center (Upper Room as needed) venues.
Assist in the planning and organization of department events.
Monthly CCLI Reporting (as required)
Collect Creative Arts department payroll information and create summary report for approval by Zone Director and submit to Accounting Manager
Coordinate with Guest Artists as required.
Specific Administrative Duties – Communications (10 hrs)
Responsible for collating and proofreading weekly bulletin content.
Organize online information for sermons for website and mobile app.
Maintain the message calendar (The list and naming convention for all sermons preached).
Schedule ministries to display in the Art Gallery and provide needed information for them to put up their materials.
Combined Administrative Duties (Creative Arts & Communications)
Provide department specific administration to include but not limited to answering and screening phone calls, proofreading, submitting ministry web site updates & bulletin requests, submit credit card reports, schedule meetings, etc.
Attend and participate in weekly & monthly department team meetings.
Be the Zone lead for Planning Center Online and Church Database – utilizing them to their fullest.
Schedule: Monday through Friday, 8:00am to 4:30pm
Office Hours: Keep regular office hours (as much as possible)
Meetings: Attend all required staff meetings/retreats (Staff “Devos & Prayer”, Monthly All Staff, Annual Retreat, etc.)
