Executive Assistant

Location: Redondo Beach

Christian school (preschool – 8th grade) in Redondo Beach, seeking to hire an Executive Assistant


General Responsibilities include:

  • Liaison for communication between Head of School, staff, parents and students
  • Researches, prioritizes and follows up on incoming issues and concerns addressed to Head of School, including those of a sensitive or confidential nature.  Determines appropriate course of action, referral or response.
  • Liaison between school and vendors, professional and community organizations
  • Research vendor contracts/services renewal with recommendations to Head of School
  • Liaison between school and contracted tenants of campus i.e., approvals, contracts, fees, etc.
  • Schedule meetings, record and distribute minutes
  • Work with Head of School on preparation of Student/Family and Employee Handbooks
  • Create, update, manage student database – Preschool through 8th grade
  • Import student attendance in data base, print/distribute progress reports and report cards
  • Create/maintain all school data based
  • Prepare/update/distribute homeroom lists, student allergy lists, and photo permission “withheld” lists
  • Order/register all Preschool and E/MS faculty/staff for professional development
  • Phone/fax/copying support
  • Create/maintain all stakeholder email distribution lists
  • Email all communications to stakeholders
  • Review/disseminate all documents for website upload to webmaster
  • Draft/update/disseminate and maintain all Google calendars for E/MS and Preschool
  • Serve on leadership team for WASC accreditation (type self-study)
  • Complete ACSI Membership renewal and on-line annual survey
  • Prepare annual student supply and email to parents
  • Ensure Private School Affidavit and other government private school tracking reports completed and submitted in a timely manner


Fiscal Responsibilities include:

  • Oversee curriculum inventory and order curriculum at best price point
  • Order office/classroom supplies at best price point
  • Manage rewards cards and ensure rewards/rebates utilized to maximize budget
  • Review all invoices for appropriate documentation/approval and timely payment
  • Assign chart of account numbers to invoices, log check request, request payment, sign and mail checks
  • Process petty cash and expense reports
  • Reconcile expenses to budget
  • Prepare budget/expense and income projections
  • Assist Head of School with annual budget preparation
  • Request checks from PTF Treasurer for approved PTF expenditures





  • B.A. Degree
  • Three to Five years experience as Executive Assistant
  • Proven ability to handle confidential information with discretion and adaptable to various competing demands, schedules and timelines
  • Understand basic bookkeeping and accounts payable principles
  • Excellent data entry skills
  • Ability to interpret data and develop clear written and financial reports
  • Ability to work on multiple projects in a deadline driven environment
  • Commitment to providing excellent customer service
  • Demonstrates high initiative
  • Strong knowledge of computer (Word, Excel, Power Point, Outlook, Publisher, Social Media web platforms)
  • Emotional maturity, positive attitude
  • Strong attention to detail, problem solving, organizational and time management skills
  • Excellent administrative, editing, written and verbal communication skills
